Overview
Reporting to the Operations F&A team – which supports the SVP Operations units - the Financial Assistant will support the department in performing financial tasks. The Financial Assistant provides day-to-day financial oversight and guidance over business operations and Yale’s policies to assigned units. Monitors, controls, and maintains financial activity of all accounts. Monitors and researches all expenditures, ensuring that all are posted to proper accounts. Reconciles and analyzes financial statements and assists with budget preparation, quarterly forecasts, and other ad hoc analysis. Assists with implementation of procedures, clerical functions incidental to accounting activities – process/prepare cash sales, journal entries, expense reports, invoices, supplier invoice requests, compliance documents, and other projects as assigned. Relies on experience and judgment to plan and accomplish goals.

Essential Duties:
Drafts preliminary financial sections of proposals. Reviews all proposals for accuracy and completeness, and compliance to grantor and University requirements and regulations. Monitors, controls, and maintains financial activity of accounts. Ensures expenditures are posted to proper accounts. Identifies, researches, and corrects questionable expenditures. Serves as the principal source of information on financial policies and procedures and financial activity. Reconciles and analyzes financial statements. Prepares standardized and specialized financial reports and analyses. Oversees and instructs support staff. Oversees the maintenance of financial records and files. Assists with the development and implementation of systems and procedures. May calculate weekly payroll for department staff. Performs clerical functions incidental to accounting activities.
Required Education and Experience:
Six years of related work experience, four of them in the same job family at the next lower level, and a high school level education; or four years of related work experience and an Associate degree; or little to no work experience and a Bachelor degree in a related field; or an equivalent combination of experience and education.
Required skill/ability #1:
Advanced use of Excel including formulas, filtering and graphs for complex reporting. Ability to assist with preparation of financial reports and analyses. Intermediate proficiency with Microsoft Word, PowerPoint, Outlook, and Adobe. Demonstrated ability to assist with the maintenance of financial records and files.
Required skill/ability #2:
Demonstrated ability to develop and interpret budgets and proven ability with basic accounting and financial principles. Ability to multi-task effectively with demanding time constraints and to work well under pressure with conflicting demands.
Required skill/ability #3:
Ability with Workday financial applications & reporting, Financial Analytics software and Salesforce and/or other high functioning complex software.
Required skill/ability #4:
Ability to problem-solve and exercise independent sound judgment, track work and follow up when necessary. Demonstrated willingness to absorb incidental responsibilities and contribute to special projects.
Required skill/ability #5:
Demonstrated excellence with customer service. Ability to work in a team as well as independently. Excellent oral and written communication skills. Strong attention to detail and well-developed organizational, analytical and interpersonal skills, along with excellent attendance record.
Preferred Education, Experience and Skills:
Four-year degree in accounting or finance and minimum of 4 years related work experience. Knowledge in a University Accounting setting. Experience with conference management software (e.g., Salesforce, StarRez).
