We are seeking a highly motivated and solution-oriented Facilities Specialist to oversee daily workplace operations for our approximately 100,000 sq. ft. commercial office space, supporting a corporate community of approximately 1,000 employees. Reporting to the Office & Facilities Manager, you will focus on managing vendors and other external subject matter experts. You will act as our primary liaison with the landlord's building management team and service partners. The ideal candidate will ensure that both hard and soft facilities services are delivered flawlessly to maintain a premium, safe, compliant and efficient work environment. Through proactive planning, you will help create a seamles workplace experience for our employees and partners.
You will :
Oversee comprehensive office services in collaboration with external vendors. Manage and coordinate preventive and corrective repairs and maintenance of office assets through regular inspections and coordination with building management. Maintain office security by supervising security personnel, administering access profiles, and overseeing visitor registration.
Act at the primary on-site point of contact for the the building managements, coordinating on building rules, fit-out guidelines, building scheduled maintenance, work permits, parking facilities and overall tenancy matters.
Serve as the focal point for team service & materials’ procurement, raising requisitions through the purchasing system, track expenses, review vendor invoices and manage annual budgets. Coordinate logistics and space setup for meetings, training sessions, workshops, and site-wide employee engagement events. Support space management and planning, ensuring the workspace remains functional and safe.
Monitor vendor performance against contractual obligations, manage service reports and lead regular vendor communications and on site walks & reviews.Conduct regular office walk-throughs to proactively identify facilities issues, safety hazards or areas needing improvement.
Coordinate office renovation projects, work permit applications, and ensure adherence to Building Management guidelines; support site-wide office relocation activities. Manage internal facilities service requisition portal, ensuring requests and feedbacks are addressed promptly and within the service level agreement. Prepare facilities various data and reportings & contribute to the emergency response team to ensure timely and effective action during incidents, supporting business continuity. Uphold the company’s code of conduct, SOPs, and ensure compliance with all safety, health, and environmental standards.
