Summary
Provides first line of customer support.
Responsible for coordinating, processing, and tracking incoming and outgoing patient referrals across the organization to ensure timely access to care.
This role requires strong analytical skills to gather, review, and interpret clinical, demographic, and insurance information to accurately process referrals in compliance with organizational standards and NCQA requirements.
Serves as a primary point of contact for patients, providers, external facilities, and internal departments, resolving referral-related inquiries while maintaining clear communication, documentation accuracy, and continuity of care.
Job Description
Demonstrate excellent customer service skills and take initiative to meet the needs of all guests to ensure a positive experience. Demonstrate a courteous, friendly and welcoming manner. Consistently offer personal assistance and resources available to patients, families, guests and visitors. Will demonstrate familiarity to campus, interdepartmental teams, clinics and own working environment to provide assistance upon request. May assist with directing and escorting individuals as necessary to provide the full service experience. May provide additional assistance and preparation for patients/guests depending on their designation for an upcoming appointment. As needed act as a liaison between staff and guests to keep each party well informed. Assist in maintaining department cleanliness and organization.
Must possess a knowledge and understanding of the designated computer systems to provide necessary services associated with daily tasks. Expected to comply with other job related responsibilities as assigned by management. Additional clerical responsibilities may include, but not limited to assist with incoming phone calls, entering of data including orders, troubleshooting potential workflow discrepancies and inefficiencies as needed, entry level billing when necessary along with data reports. Interaction of population will vary depending on facility location and setting. Must be perceptive to the needs of all guests with critical thinking skills to help them with their needs.
Demonstrates empathy, understanding, compassion and kindness to all visitors, customers or patients/family members regardless of race, color and culture, socio-economic, or physical or emotional condition. Possess excellent communication skills and be able to interact in a supportive, positive manner, acknowledging the level of importance and sensitivity for those visiting the facility while remaining composed under pressure. Responds with empathy and strong interpersonal skills. Must remain calm and provide reassurance regardless of situation. Must have a positive attitude, the ability to learn quickly and adapt easily to change.
Qualifications
High school diploma or equivalent preferred.
One year of office experience with exposure to customer relations and computer data input preferred. Medical Terminology knowledge preferred. Depending on department, Medicare and Medicaid billing knowledge preferred.
Other Preferred:
Graduate of a vocational technical Health Unit Coordinator, Medical Office Secretary, Medical Office Specialist, or equivalent program.
Completion of medical terminology and anatomy & physiology coursework at time of hire.
One year of experience in referral coordination, healthcare administration, or health insurance.
** This position is hybrid within the Marshfield Clinic service area, with primary remote option and on-site work as needed at a Marshfield Clinic location.
