As the Operations Assistant, you will be the operational backbone of our owned store network in Spain. You will own the day-to-day financial and people operations of multiple branches — ensuring FX accuracy, resolving incidents quickly, maintaining regulatory compliance, and supporting frontline teams through leadership, training, and structured oversight. You'll work closely with Accounting, HR, Settlement, and Business teams to keep operations aligned and efficient.
Role Responsibilities
Manage FX Operations & Financial Control
Update FX exchange rates daily for owned stores
Distribute FX rates to corporate clients
Update monthly FX and Money Transfer (MT) targets
Review and reconcile Profit & Loss (P&L) reports
Control and manage branch invoices
Create and follow up on purchase orders (office and cleaning supplies)
Resolve Incidents & Ensure Operational Continuity
Register, manage, and follow up on MT incidents through to resolution
Manage and resolve cash management incidents, including approval of deposit movements across branches
Escalate and track transaction issues until full resolution is achieved
Lead People & Workforce Operations
Monitor and validate FLA attendance records in Kelio
Export monthly FLA hour balances and maintain the annual working hours calendar
Review and approve store schedules across owned stores
Manage FLA sick leave records and follow-up processes
Drive Store Performance & Compliance
Conduct cash audits across Spain owned stores
Perform regular operational store checks at Spain locations
Train the team on new product launches and operational updates
Collaborate Cross-Functionally
Role Requirements
Experience
Previous experience in retail operations, financial services, or a supervisory role within a branch or store network
Background in cash management, FX operations, or financial reconciliation is a strong advantage
Education & Certifications
Degree in Business Administration, Finance, Economics, or a related field preferred
Additional certifications in operations management or financial control are a plus
Technical Skills
Proficiency in MS Office (Excel for P&L reconciliation and scheduling)
Experience with workforce management tools (e.g. Kelio or similar) is desirable
Familiarity with invoice and purchase order management processes
Soft Skills
Strong teamwork and collaboration across departments
High attention to detail and commitment to operational accuracy
Proactive problem-solver with the ability to escalate and resolve issues effectively
Adaptable and comfortable working in a dynamic, fast-paced environment
Other Details
Language: Full professional fluency in both Spanish and English is required for this role.
Travel: Availability to travel across Spain owned store locations at least 30% of the time.
Working Hours: This role operates on rotating shifts (09:00–18:00 or 11:00–20:00) and includes weekend on-call duties, compensated with time off during the week.
