POSITION OVERVIEW
The purpose of the Executive Assistant role is to assist the Director and other senior members of the business in winning and delivering services to Cushman & Wakefield’s local and global clients.
The role is responsible for providing administrative and coordination support in a highly responsible, timely and confidential manner as well as provide support to other senior members of the team and be the point of contact to the wider business.
PRINCIPAL RESPONSIBILITIES
Providing administrative and coordination support
Manage emails and diary of the Director to ensure all matters are attended and responses are provided in a timely manner
Assist with all event management requirements and tasks - liaise with National Marketing team and Front of house team to action
Adeptly handle incoming communications and respond to internal requests for information on a timely basis
Book flight and hotel arrangements in a timely, cost-effective manner for interstate and international travel bookings for the Director.
Manage all administrative tasks including scheduling and arranging meetings, town halls, and video/teleconference calls
Create meeting agendas and organise meeting material to be distributed and collated as necessary in a timely manner
Assist in development of reports and presentations that are required on a weekly, monthly and quarterly basis
Initiate and follow through changes to the Director’s direct reports employment status and support the onboarding of new members in the team
Handle sensitive and confidential information with discretion
Raise Purchase Orders and process expenses and invoices in a timely manner
Communicate announcements and newsletters to the business
Foster and maintain effective working relationships with key internal and external stakeholders
Assist the Director in development of marketing materials and in terms of research, design, layout, graphics, editing, final printing and production
Provide other administrative support to the team as required, e.g., preparation of marketing materials, advertising, information collation, preparation of contracts, database updates, filing etc.
General

PROFESSIONAL EXPERIENCE
Demonstrated experience in Executive Assistant role supporting senior leaders.
Tertiary qualification or equivalent in Media and Communications, Graphic design or a relevant field is highly desirable
