Business support & Project coordination for the International Medical Affairs and the Finance department.
Responsabilities:
Act as an Executive Assistant for the RVP, Head of International Medical Affairs & the AVP, Head of International Finance
Act as a business support for Medical Affairs and Finance Departments
Act as the first contact of the countries & business units (various requests & scalations, etc.)
Coordinate and arrange team/working group meetings and video conferences (agenda, timing, location, attendees, facilities, etc.)
Organize business travel and appointments
Provide logistics support for internal and external events
Contract Management: create vendors profile, contracts online requests, generate purchase orders, DocuSign, invoicing, maintain the project tracker up to date, follow-up with Legal & Finance departments / Implementation of new tools and guidelines
Manage monthly accruals (follow up with agencies) and coordinate with Finance
Support budget planning, tracking, and adjustments for the team as required
Lead the end-to-end production of the monthly newsletter, including coordinating content with country teams and managing publication
Support with the Medical Affairs SharePoint (access management, uploading meetings folders, etc.)
Update and maintain various contact lists
Ambassador for Medical Affairs Department
Teamwork with Operations Coordinators from other functions on joint meetings and projects
Act as a backup for other Operations coordinators
Project coordinator for assigned projects and assist with other projects
Coordinator for the Project management core team, resources, equipment, and information
Implement and maintain appropriate project management processes where needed
Communication and planning management
Contract Management: create vendors profile, contracts online requests, generate purchase orders, DocuSign, invoicing, maintain the project tracker up to date, follow-up with Legal & Finance department
Be the point contact for Medical Affairs with legal for new policies or procedures applicable to Medical Affairs
Work with the different stakeholders to help implement improvements/enhancements to compliance controls applicable to Medical Affairs
Ensure up to date knowledge on compliance requirements and developments relevant to medical affairs through trainings with legal on topics of relevance and communicate within the medical affairs organization
Requirements:
BA or equal by experience
5+ years’ experience working for a multi-national company in a similar position or equivalent
Well organized, willingness to solve problems and honor deadlines, reliable, perfect communication skills and discretion & ability to handle sensitive information are a must
Excellent proficiency with Office software systems (Excel, Word, PowerPoint) and Outlook
Fluent in English and French. German, Spanish, and/or Italian would be a plus
Hybrid - Must be in Morges Offices 3-4 days per week
